Project Secretary

Job Description

To be responsible for organizing and coordinating the activities of the project, provide administrative and secretarial support where required and serve as a custodian for all documentation handled.

Skill Requirements

  • High School or secretarial certification with equivalent years of experience
  • Strong English and Arabic language skills (written and spoken)
  • 1 -3 years Prior experience in an administrative role is mandatory

 

Responsibilities

  • Responsible for project Document Control management including hard and digital copies.
  • Manage all communications, maintain logs, and ensure distribution of communications to all concerned stakeholders in accordance with the approved communication matrix.
  • Manage reception, appointments, phone calls, faxes and other communications.
  • Assist in gathering the necessary information and/or documents required for periodical reports, preparation, assemblage, and submission in timely manner, as well as taking site progress photographs for the projects whenever requested.
  • Schedule and coordinate meetings, distribute agendas, ensure that the conference facilities and equipment are fully functioning. Distribute the minutes of meeting.
  • Maintain up to date register of all project documents, drawings and submittals, contractual documents and prompt reminder for pending and/or delayed actions.
  • Maintain up to date register of all material samples, brochures, technical manuals.
  • Assist in drafting letters, preparation of reports
  • Assist in logistical and follow-up support with urgent documentation concerning various stakeholders.
